Summary:

The Office Manager provides administrative support to their branch including the General Manager, Operations Manager, and field employees. This position acts as a liaison between Branch Support departments such as Accounting, Marketing, etc., and the local Branch.

Essential Job Duties:

• Oversees the work of office employees to ensure they follow operating procedures for capturing accurate

information and gives reports to the management

• Reporting office progress to senior management and working with them to improve office operations and

procedures

• Partners with the Human Resources team to apply company policies and assist in onboarding new

employees

• Completes general office duties including billing, filing, printing, and scanning documents

• Informs management of “key customer issues” including dissatisfaction, perceived lack of response, etc.

• Processing payments, invoices, income and receipts and entering data into accounting software

• Approving vendor invoices

• Administering payroll approvals

• Managing employee expense claims

• Helping the Accountant with administrative duties and preparing yearly accounts

• Supports daily, monthly, and quarterly branch deadlines

• Supports special projects and other documents in support of company objectives

Other Duties:

• Performs other duties as requested

• Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.

• Ability to clearly and effectively communicate ideas related to policies and procedures and provide guidance

to management and employees verbally and in writing

• Ability to manage time effectively and efficiently

• Ability to multi-task with minimal supervision

• Regular and reliable attendance

Minimum Qualifications:

• High School Diploma or equivalent

• Experience with the following software applications: Mac OS, Microsoft Suite, or Google Suite

• Possess a valid driver’s license

• Eligible to work in the U.S. without sponsorship

Preferred Qualifications (not required):

• Experience with the following software applications: Service Titan and Google Suite


Physical Demands:


• Ability to operate computer, phone and other office equipment as needed

• Ability to work effectively using a personal computer for long periods of time

• Ability to sit/stand at workstation for extended periods of time

• Ability to read, write, speak, hear, see, think, communicate, concentrate, learn, and work

• Ability to perform the essential functions of the position with or without reasonable accommodation
